How does it work?
The Meetings and Motions system is tailored to each assembly based on the client and the type of activity. However, the process typically follows a similar flow, from event creation to voting and report generation.

Event creation and configuration
The system is customizable for each client, allowing them to configure the event and key information: name, address, description, date, and time. Then, if needed, options such as pre-registration, event boundaries, and anonymous voting can be activated. Finally, the content is prepared by adding motions, coupons, and the guest list before the voting begins.

Guest management and digital invitations
The guest list is uploaded, either manually or by importing it from a CSV file, preventing duplicates and validating data such as ID number and email address. The list can be filtered by ID number, email address, or status (not invited, invited, confirmed, or canceled) for better management. Once everything is ready, the system generates and allows you to forward invitations with a unique QR code for the event to each guest.

Confirmation of attendance and access control
The guest receives an email invitation where they can confirm or decline attendance by entering their ID number. The system validates the ID and displays a confirmation message or a warning if there is a problem. This way, attendance is confirmed for the day of the event, and registration is faster and more controlled.

Real-time voting on motions
An app (or web version) is used, which the guest installs or opens to participate when the event starts. Motions are managed from there, and real-time voting is enabled.
Each motion is configured with: title, description, time, whether it allows multiple selection and its options.
For the participant, the screen displays the active motion, its options, the voting status, and a countdown timer with a progress bar.

Register coupons and redeem them on the day of the event
Depending on the client's needs, coupons for refreshments, gifts, or other benefits can be added to the event. The system also supports on-site logistics, allowing for organized control of coupon use and redemption during the event.
Results and reports
At the end of the process, the system allows users to review results and export reports for backup and transparency. A voting and a coupon report are available in PDF or Excel format, as well as an attendance report that can also be downloaded as a CSV file with the guest list. This facilitates the delivery of evidence, summaries, and internal controls according to the client's needs.
